Terms & Conditions
The terms and conditions are applicable from the time of first payment or payment in full.
You can book a tour with Bikudo Travel through our website by either inquiring for a tour or through our contact formula. The person responsible for the booking will be known as the lead passenger. The lead passenger must be at least 18 years of age and have the legal rights and authority. It is the lead passenger’s responsibility to ensure that all passenger information is correct and as stated in the passport.
Please check that all your details are correct, such as passenger information and travel dates and report any incorrect or incomplete information to us immediately.
Upon booking you will receive an invoice for payment of the full amount. Please note, that the tour is not confirmed before payment or a deposit has been made in full. Rates and tour availability are subject to change up until final payment or a deposit has been paid.
For any booking with paid deposit, the full payment is due no later than 60 days before the date of first service. If we have not received full payment of a service or tour after this due date, we reserve the right to change the booking at our discretion. This includes rate change and may treat the booking as if cancelled. If a booking is made within 60 days of first departure and or service date you must pay the amount in full.
Prices and currency
All prices published on our website are correct and based on a booking for 2 passengers. Bikudo Travel reserve the right to change the price of a product at any time before final confirmation. All products and services are published in USD and should be paid in USD.
Cancellation by the participant before departure
Any cancellation by a customer must be made in writing and acknowledged by Bikudo Travel. The cancellation fees applicable shall be determined by the date on which the request to cancel is received by Bikudo Travel. The cancellation fees are determined hereafter as a percentage of the total price of the cancelled tour. Cancellation fees are determined by Bikudo Travels' sub suppliers if such supplier’s own cancellation rules are stricter that Bikudo Travels.
General cancellation rules are as followed:
- 60+ days prior to date of first service – full refund.
- 30 days to 59 days prior to date of first service – 50% refund.
- 0 to 29 days prior to date of first service – no refund.
- For Tailor-Made tours separate cancellation rules may apply and will be known to the customer at time of booking.
* Any payment processing fees are non refundable.
Cancellation by Bikudo Travel or their suppliers
We reserve the right to cancel a trip for any reason 30 days or more prior to the trip. We will not cancel a tour if less than 30 days prior to departure, except for force majeure, unusual or unforeseen circumstances outside of our control.
If Bikudo Travel cancels a tour in less than 30 days prior to departure for any reason other than the fault of the customer or force majeure, the customer may choose between a full refund of all monies paid or credit in that amount for any alternative trip. If the alternative trip is less costly than the cancelled trip, Bikudo will refund you the difference. If the alternative trip is more costly than the cancelled trip, you will be asked to pay the difference.
Bikudo Travel are not responsible for any incidental expenses or consequential losses that you incur as a result of the booking, such as, but not limited to, visas, vaccinations and non-refundable flights.
The customer must be protected by their own travel insurance that covers accidents, medical expenses, emergency evacuation and loss or damage to personal effects. Furthermore, if clients are booking a more extreme tour such as high-altitude trekking or diving, we strongly encourage to ensure that the insurance cover such extreme sports. By participating in a tour with Bikudo Travel, you agree to be responsible for all costs related to the above and exempt and fully release our company, our employees and our local partners from any and all liability, claims, demands, actions or causes of action whatsoever arising out of any damage, loss or injury to yourself, to your property, or to your death, which may occur as a result of or in the context of participation in a tour, whether such loss, damage, injury or death results from the negligence and/or other fault, either active or passive, of any of the parties described, or from any other cause.
You must be able to provide proof of insurance. All customers traveling with Bikudo Travel acknowledge that no refunds will be provided for any reason if we cannot verify proof of insurance purchased prior to your trip with us. In all cases, customers should seek refunds from their insurance provider prior to requesting a refund from Bikudo Travel.
Further coverage, such as insurance for trip cancellation or the loss of luggage and personal effects is not required, but strongly encouraged. We are not liable for lost or stolen luggage.
The customer acknowledge that it is his or her responsibility to purchase a valid travel insurance covering the whole length of the tour. It is understood that insurance is not covered in any of the tours provided by Bikudo Travel. You are responsible for advising the insurer on the type of travel, destinations and activities included in your booking.
If the client is to miss or not use any services, including voluntary or involuntary termination/departure from a tour, i.e. due to sickness, death of a family member, injury, late arrival on the tour there will be no discounts or refund to the client. This also include premature departure either voluntary or involuntary.
Bikudo Travel reserves the right to make changes of any kind to a product on our website and sales material before a booking is made. We will do our utmost to operate any tour as advertised. If a major change is made to a confirmed booking, Bikudo Travel is responsible to inform the customers about such changes. A major change is seen as something affecting the itinerary by e.g. omitting an experience otherwise included or a change of routing. The customer has the choice of accepting the change, receive a full refund or accepting an alternative offer from Bikudo Travel. If a major change due to force majeure or unforeseen circumstances no compensation is payable.
Changes of insignificant character such as change of accommodation to equal or higher standard will not permit any refund or alternative choices. Bikudo Travel will strive to inform the customers as soon as possible but is not obliged to do so.
While we love to travel to remote places and operate many tours in these areas, infrastructure can be limited, and conditions can be unpredictable. This might influence the course of a given tour, and while It is our intention to follow the program described in the itinerary, it might not always be possible to do so. We have also on occasion taken the liberty to deviate from the program if for the better of the experience due to local experiences taking place.
The itinerary and tour description are general guidelines to what you can expect of a given tour, but should not be considered as guarantees, nor should the mentioning of possible sightings of animals, specific destinations. Heights, driving time, trekking time and any other travel times listed are approximations.
Acceptance of risk
As Bikudo Travel operates with adventurous tours it is understood that such a tour may involve a significant amount of personal risk and is acknowledged by the customer. By booking a tour with Bikudo Travel, the customer assumes all such risks and releases Bikudo Travel from all claims and causes of action arising from any damages, injuries or death resulting from these inherent risks.
By booking a tour the customer further understands that he or she is travelling to geographical areas where, amongst other things, the standard of accommodation, transport, safety, hygiene, cleanliness, medical facilities, telecommunications and infrastructure development may not be of the standard he or she is used to at home or would find on conventional holiday.
It is the customers responsibility to have all necessary documents in order, including but not limited to:
The customer must be in possession of a valid passport for the entirety of the journey. The passport must be valid 6 months past the return date. Proper documentation for all visas, permits and certificates including vaccination, insurance policies are required for the whole of the journey.
The customer is fully responsible for obtaining all relevant documents and is solely responsible for any consequences resulting from missing or not having valid documentation. Any advice or information provided by Bikudo Travel regarding visas, vaccination, weather and climate, clothing, baggage etc. is purely provided as a courtesy and is purely advisory. Bikudo Travel is not responsible for any errors or omissions to the information provided and it is the customers own responsibility to reassure with e.g. doctors and immigration offices
It is the customers responsibility to check any visa requirements for each country of travel according to their nationality. The visa requirements may change at any moment without prior notice and Bikudo Travel is not responsible for informing the client about this.
Please note that all travel related documents from Bikudo Travel such as vouchers, itineraries and invoices will be sent to the customer via email. It is the customers responsibility to always have such documentation in order and ready to show if asked for during the trip.
Force Majeure (Elements outside the control of Bikudo Travel)
We will not be liable to pay the customer any compensation if any changes or cancellations to a tour is due to force majeure which is defined as any unavoidable and extraordinary circumstances. These are events beyond Bikudo Travel’s control, with consequences that could not have been avoided even if all reasonable measures had been taken. Examples of force majeure includes acts of terrorism and the threat of the same, warfare, civil strife, interference by authorities, significant risks to human health such as serious diseases, pandemics or natural disasters such as floods, earthquakes volcano eruptions, extreme weather conditions, unavoidable technical problems with transport and all other similar events outside of Bikudo Travel’s or their suppliers control.
Errors and omissions
We have made every effort to write these Terms & Conditions in good faith and made to accurately reflect our policies. Bikudo Travel cannot be held responsible for any error, omission or unintentional misrepresentation that may appear in our Terms & Conditions.
Bikudo Travel will handle all personal information with utmost care and do the best to protect all personal information. Personal information will only be provided to relevant suppliers and carriers that will enable the operation of the services requested by the customer.
Updating of terms & conditions
We reserve the right to update and/or alter these terms and conditions at any time and without prior notice.
